Delete your Duka365 account

How to close your account and remove your shop’s data.

Duka365 is a shop and stock management app published by Protend Limited. This page explains how to delete your Duka365 account and the data held in it. You do not need the app installed to use it.

1. If you can sign in

The shop’s owner can close the account from the dashboard. Sign in at duka365.tz, open Settings, scroll to the section marked in red, and choose Delete account.

This takes effect immediately. Everyone is signed out, nobody can sign in again, and the phone app stops working for that shop.

Only the owner sees this option. If you work at a shop and want your own staff account removed, ask the owner to remove you from the Team screen, or write to us using the address below.

2. If you cannot sign in

Write to support@duka365.tz from the email address on the account, and say which shop you want closed. We will check that the request comes from the account holder before doing anything, and we will reply when it is done.

3. What deleting removes

Closing an account removes access to all of it:

  • Your sign-in and profile — your name, email address and phone number.
  • The shop’s products, prices, units and stock levels.
  • Sales, receipts, payments and the money owed to the shop.
  • Customers and suppliers, including the names, phone numbers and addresses entered at the counter.
  • Expenses, branches, reports and every staff account on the shop.

Data kept on a phone is separate. Signing out or uninstalling the app clears everything Duka365 stored on that handset.

4. When the records are erased

Closing the account takes effect at once: everyone is signed out and nobody can sign in again.

The shop’s records are then erased from our systems within 7 days. You do not need to ask for this separately, and there is nothing else for you to do. A shop with nothing in it — no products, no sales, no customers — is erased straight away, because there is nothing to hold on to.

When a shop is closed we email its owner straight away. That message contains a link that puts the shop back exactly as it was, and it works until the records are erased — you do not need to sign in to use it. Afterwards they are gone for good, and that is the point of deleting them.

Where the law requires us to keep a record — tax and accounting rules are the usual reason — we keep only what is required, for only as long as it is required.
