Duka365 by Protend helps shop owners manage inventory, sales, customers, suppliers, and business finances. This Privacy Policy explains how we collect, use, and protect your information when you use the app.

2. Information We Collect

Depending on how you use the app, we may collect:

• Account information such as your name, email address, shop name, city, and phone number.
• Business data including inventory, products, sales records, purchases, customers, suppliers, and expenses.
• Technical information needed to operate the app, such as browser details, IP address, and authentication session data.

3. How We Use Your Information

We use the information collected through Duka365 to:

• Provide the core shop management features of the platform.
• Authenticate users and keep accounts secure.
• Generate reports, dashboards, and operational records for your shop.
• Maintain, improve, and troubleshoot the platform.

4. Sharing of Information

We do not sell your personal or business information. Information is only shared when strictly necessary to operate the platform, comply with legal obligations, or when you explicitly authorize access within your organization.

We apply reasonable technical and organizational safeguards to protect your account and shop data. No system is entirely risk-free, so we also encourage you to use strong passwords and protect your devices.

6. The Mobile App

The Duka365 mobile app is built to keep working when the shop has no internet, which means it keeps a copy of some of your data on the phone itself:

• A copy of your shop catalogue — products, prices, customers and stock levels — is stored on the device so the app can sell without a connection. It is a copy of data you already hold in your account, not new information about you.
• Sales, expenses and stock changes recorded while offline are stored on the device until they can be sent to our servers. Signing out does not delete them: they are your shop’s records, not the phone’s, and they are sent the next time that device signs in and reaches the internet.
• Your sign-in tokens are held in the Android Keystore or iOS Keychain, kept apart from the rest of the app’s data.

The app asks for camera access for one purpose: reading a barcode at the counter. The image is examined on the device as you point it and is never saved, uploaded or shared. You can refuse the permission and still use every part of the app by typing codes instead.

The mobile app contains no advertising, no analytics and no third-party tracking. It talks to Duka365 and to nothing else.

Uninstalling the app removes everything it stored on that device. Anything already sent to us remains in your account and can be exported or deleted from the dashboard in the usual way.

7. Cookies and Sessions

Duka365 uses cookies or similar session mechanisms to keep you signed in, remember your preferences, and support essential app functionality.

8. Data Retention

We retain account and business data for as long as needed to provide the service, preserve records for reporting, support audits, and comply with applicable legal obligations.

9. Your Choices

You may review or update your profile, change your password, or request account closure through the app settings or by contacting our support team.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, the updated version will be made available within the app.
